QuickBooks Online and Microsoft Dynamics 365 Business Central both help companies manage their accounts, but they address different layers of business operations. QuickBooks Online focuses on invoicing, bank reconciliation, bills, expenses, reporting, projects and, on its higher plans, inventory. Business Central is a broader cloud enterprise resource planning (ERP) system that connects finance to purchasing, inventory, warehousing, fulfillment, projects and, on its Premium edition, manufacturing and service management.
A company may operate successfully in QuickBooks for years and never need ERP. Another company with roughly the same revenue might need Business Central because purchase orders, multiple locations, subsidiaries, production and financial approvals have become tightly interdependent. Company size is a useful clue, but operational complexity is the more reliable buying signal.
This is a research-based comparison of current United States plans as of October 24, 2026, not a claimed hands-on implementation or financial audit. We use Intuit and Microsoft official pages for prices and capabilities, distinguish ordinary subscription rates from introductory promotions, and treat deployment and integration services as separate costs.
Our central recommendation: choose QuickBooks Online when reliable accounting and a manageable set of connected apps meet your needs; choose Business Central when finance and physical or multi-company operations must share an ERP data model, and the organization can fund configuration, migration, training and process change.

The fundamental difference: accounting platform versus ERP
QuickBooks revolves around the general ledger and the money moving through the business. Invoices create receivables, bills create payables, bank feeds help match activity, and dashboards organize the financial picture. Even QuickBooks Advanced—which has expanded automation, construction and professional-services tools—still centers on a familiar accounting workflow. This focus makes daily bookkeeping easier to adopt.
Business Central uses finance as one part of an operational system. A sales order can drive fulfillment and inventory activity; purchasing can affect expected stock and accounts payable; jobs or projects can capture usage and costs. For a warehouse or production business, that connected data can be more important than a simple invoice screen.
Neither approach is universally better. More ERP capabilities create more setup decisions, approval rules, user roles and training needs. A small team does not become more productive merely because its software can handle manufacturing it will never perform.
QuickBooks Online U.S. pricing in 2026
Intuit currently publishes regular U.S. monthly prices of $38 for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced. Its pricing page also advertises a permanent QuickBooks Free tier at $0. These are regular paid-plan amounts, not discounted signup cards. Intuit promotions fluctuate, and a new customer may see a large discount for the first three months.
Simple Start accommodates one ordinary business user and the core invoicing, banking, expenses and accounting foundation. Essentials has three ordinary users, stronger bill workflows and time-related capabilities. Plus has five ordinary users and adds budgeting, projects, inventory and classes/locations. Advanced has 25 ordinary users, deeper customization, custom permissions and expanded reporting and workflow tools.
A critical distinction: a QuickBooks accounting-firm user or certain restricted report-only/time-tracking-only users may not count toward the ordinary user limit. These roles are not interchangeable with an editor who creates purchase orders, reconciles bank accounts and runs full accounting operations. Confirm the role matrix before upgrading solely on headcount.
Is QuickBooks Free a serious Business Central alternative?
No. QuickBooks Free offers a practical way for a very small operation to record income and expenses, view a few reports and connect one bank account. The standard published invoice allowance is two per month, although qualifying QuickBooks Payments activity can affect that limit. It has one user and does not provide accountant access in the same way as paid tiers.
That offer can be useful for a solo operator but should not appear in a side-by-side table as though it supplies the operational functions of Business Central Essentials. For a realistic accounting-versus-ERP decision, compare QuickBooks Plus or Advanced with Business Central Essentials, then determine which system actually supports the required processes.
What does Business Central cost?
Microsoft currently lists Business Central Essentials at $80 per user per month, Premium at $110 per user per month and Team Members at $8 per user per month, each paid yearly before tax. The product also has a 30-day free trial. Essentials contains the main ERP foundation; Premium adds manufacturing and service-order management. Team Members are specifically restricted, not inexpensive substitutes for full finance, purchasing or warehouse editors.
The comparison page uses the phrase unlimited users for Essentials and Premium. This describes scalability, not unlimited users included in an $80 flat subscription. Full users still require paid licenses. A ten-full-user Essentials deployment begins at 10 × $80 × 12 = $9,600 per year before implementation and add-ons. A ten-full-user Premium deployment begins at $13,200 per year under the same assumptions.
Business Central’s list prices make license budgeting easier than a fully quote-only ERP. Nevertheless, the finished project can cost considerably more than the license line because a partner may need to define legal entities, item master data, warehouses, dimensions, purchasing flows, data conversion, testing, training, security and extensions.
Essentials versus Premium: the ERP license decision
Essentials is not merely accounting. Microsoft’s published matrix includes finance management, sales and marketing, fulfillment, purchasing and payables, inventory, supply-chain planning, project management and warehouse management. This is already a broad operational platform, and many distributors and professional-services organizations will not need Premium.
Premium includes everything in Essentials and adds the two categories the pricing matrix separates: manufacturing and service-order management. For a manufacturer requiring bills of materials, production orders and deeper manufacturing execution capabilities, Premium should be the starting evaluation. A company with a simple inventory ledger but no production requirements may find Essentials enough.
Licensing mix deserves attention. Microsoft documents that an Essentials user may open only Essentials-configured companies, while a Premium user can open Essentials or Premium companies, with functionality governed by company settings. Do not assume an Essentials-licensed buyer can work inside a Premium-configured company without an upgrade. Have a partner test exact users, companies and rights against the current licensing guide.
Business Central Team Members: useful, but restricted
The $8 Team Members license supports limited reading, approvals and select records. It can lower cost when employees mostly consult information or approve requests rather than posting journals, managing warehouse receipts or editing purchasing records. Microsoft’s sales page explicitly describes it as limited access.
A fair cost model should define accountants, purchasing managers, warehouse editors, approvers and executives by the work they must complete. Assign full-user licenses wherever full ERP transaction rights are required and Team Member licenses only when documented permissions fit. Underlicensing is not a valid saving.
Twelve-month software cost: apples-to-apples assumptions
The following examples use normal published U.S. rates, not new-customer discounts, and deliberately exclude sales tax, QuickBooks add-ons, Microsoft implementation services, external apps, extra Power Platform licenses and any negotiated partner pricing. They compare license arithmetic only; QuickBooks and Business Central still cover different workflows.
| Scenario | QuickBooks Online | Business Central |
|---|---|---|
| Basic one-editor accounting | Simple Start $38 × 12 = $456/year | Essentials 1 × $80 × 12 = $960/year |
| Five-editor accounting/inventory | Plus $140 × 12 = $1,680/year | Essentials 5 × $80 × 12 = $4,800/year |
| Ten full accounting/operations editors | Advanced $340 × 12 = $4,080/year | Essentials 10 × $80 × 12 = $9,600/year |
| Ten users needing manufacturing ERP | No equivalent full native MRP price | Premium 10 × $110 × 12 = $13,200/year |
| Five full users plus ten restricted approvers | Not directly role-equivalent; check QBO role limits | Essentials (5 × $80 + 10 × $8) × 12 = $5,760/year |
The $4,080 Advanced versus $9,600 Business Central example can look like a large price gap, but it is not proof that QuickBooks offers the same functionality at less than half the cost. It is a comparison of licensing outlay for ten editors. Inventory, warehouse processes, purchasing approvals, multi-company needs and implementation must determine whether paying for ERP yields enough operational value.
Three-year total cost of ownership
A better comparison separates recurring vendor subscriptions, partner services, apps and internal staffing. QuickBooks can attract payroll fees, merchant processing, specialized inventory or ecommerce subscriptions, connector maintenance, bookkeeper time and the cost of managing several company files. It may remain considerably cheaper if those needs are light.
Business Central may add solution design, configuration, data cleanup, migration, third-party extensions, Microsoft 365 or Power Platform entitlements, integration work, security administration, partner support and periodic training. Copilot’s base presence does not automatically mean every AI agent consumes no extra paid credits.
Build a three-year table using the actual user roster and process map. Include an initial migration budget, recurring support, expected transaction volumes and a contingency for changes discovered in testing. Avoid inserting an invented “typical implementation costs $X” figure; the range can vary dramatically by modules and customization.
Invoicing and accounts receivable: QuickBooks wins on straightforwardness
QuickBooks has a familiar direct workflow for creating invoices, receiving online payments, sending reminders and reconciling receipts. It is well suited to owners and bookkeepers who spend most of their time with client bills rather than complex sales orders. Payment processing is separate from the software subscription and has its own terms.
Business Central supports sales quotes, sales orders, posted invoices, credit memos and receivables within ERP. This becomes valuable when invoices depend on actual fulfillment, warehouse picks, returns and delivery status. It requires more careful setup of customer posting groups, dimensions, taxes and document workflows.
For a consulting business issuing twenty invoices a month, QuickBooks may be faster to learn. For a distributor invoicing thousands of shipped order lines across multiple locations, the connection between order, shipment and invoice may be decisive.
Bills, purchasing and vendor management
QuickBooks Essentials and above improve accounts payable management, with Plus and Advanced supporting purchase orders and broader expense categorization. Many small firms need no more than that: capture a vendor bill, approve or pay it and reconcile the cash outflow.
Business Central links vendors, purchasing documents, expected receipts, inventory and payables in the same ERP structure. Purchase orders can be connected to receipts and invoices, with approval and posting routines configured for the company. That has greater significance when purchases affect warehouse quantities, landed costs, stock availability or departmental commitments.
A buyer should demonstrate partial receipts, disputed supplier invoices, returns, purchase prepayments and approval exceptions. Having a purchase-order button is not the same as supporting a complete procure-to-pay process.
Bank reconciliation and the general ledger
QuickBooks makes connected bank feeds, categorization and reconciliation central parts of the experience. It supports standard profit-and-loss, balance-sheet and general-ledger views, with reporting capabilities expanding by plan. Intuit Intelligence-related categorization and automated checks vary by subscription and release status.
Business Central offers a formal ERP general ledger, bank-account reconciliation, dimensions, posting groups and audit-oriented entry flows. Finance teams can map transaction coding to business units, projects or departments and structure approvals or posted-document corrections according to policy.
For uncomplicated bank feeds, QuickBooks may demand less accounting-system administration. For a controller requiring consistent coding across sales, purchasing and inventory departments, Business Central is often the more appropriate architecture.
Inventory management: where the gap becomes meaningful
QuickBooks Plus and Advanced provide inventory tracking, purchase orders, product and cost tracking and associated reporting. These capabilities can be enough for retailers, small wholesalers and firms that need to know when to restock ordinary items.
Business Central includes inventory and supply-chain functionality on Essentials and Premium, connecting stock to purchasing, sales orders, item costing, warehouse activity and financial posting. In more complex operations, businesses can configure locations, transfers, replenishment, costing approaches and warehouse handling within one system.
A company managing 200 SKUs in a single stockroom may be comfortable in QuickBooks. A company transferring thousands of items among several warehouses, reserving stock for orders and controlling different fulfillment steps has more reasons to evaluate Business Central.
Do not assume every highly specialized warehouse feature is plug-and-play. Have an implementation partner demonstrate the actual receiving, lot or serial tracking, pick/pack and valuation requirements against the licensed edition and configured extensions.
Manufacturing: Business Central Premium has a clear advantage
QuickBooks can track product costs and, with apps or other Intuit products, participate in production-adjacent workflows. But QuickBooks Online Plus or Advanced is not positioned as a full native manufacturing ERP with the same core production framework as Business Central Premium.
Microsoft explicitly marks manufacturing as a Premium-only feature on its published plan matrix. This matters to businesses managing production orders, material requirements, routings, capacity and cost rollups. Those processes typically require careful item and bill-of-material setup, and some specialized functions still depend on configuration or extensions.
A small artisan business may not need manufacturing software if purchases and finished-goods accounting are simple. A production business with scheduling, work in progress and raw-material shortages should evaluate Business Central Premium rather than comparing a generic QuickBooks price card with an ERP brochure.
Projects and job profitability: closer than many comparisons suggest
QuickBooks Plus and Advanced support project profitability, allowing income, costs and selected transactions to be grouped under client work. Intuit documentation refreshed in August 2026 confirms projects in those plans. Advanced has gained more sophisticated industry-specific project and construction finance tooling, so older comparisons calling QuickBooks incapable of project cost tracking are out of date.
Business Central includes project management in its Essentials/Premium pricing matrix, with finance-linked project transactions and planning. It is more appropriate when projects share purchasing, inventory, resource allocation and formal reporting controls across departments.
For a five-person design agency billing fixed-fee work, QuickBooks Plus may be excellent. For a project manufacturer that purchases materials, allocates labor, posts WIP and tracks fulfillment, Business Central can serve as the shared financial and operations system. Evaluate actual time-entry, resource, milestone and revenue-recognition requirements—not simply a checkmark called Projects.
Multi-company accounting: a decisive ERP difference
Intuit states that each separate QuickBooks Online company file needs its own subscription, even when multiple files use one sign-in. The data is separate; customers, vendors and charts of accounts do not automatically stay synchronized. Classes and locations within one company are useful management dimensions, not substitutes for separate legal-entity accounting.
Microsoft documents multiple companies within Business Central and formal intercompany processes to distribute sales, purchasing and journal transactions between company records. It also documents financial consolidation from subsidiary companies into a consolidated reporting company, with account and dimension mapping.
A business managing three legal entities might keep three QuickBooks files and consolidate externally. That can be workable. If the parent group needs standardized intercompany postings, consolidated trial balances and traceable elimination processes, Business Central offers stronger native groundwork. Localization, intercompany setup and consolidation still require finance expertise.
International operations and currencies
Businesses working across borders should not assume that U.S. QuickBooks plan capabilities or sales-tax workflows match international QuickBooks editions. Multi-currency entitlements and regional tax handling must be validated against the actual subscription. Managing foreign operations through separate company files can become administratively demanding.
Business Central supports multiple companies and localization-oriented ERP deployment across countries and regions, but country availability, tax functionality, extensions, supported banks and currency handling must be verified per subsidiary. An ERP deployment is not a guarantee that all international statutory reporting comes configured out of the box.
For cross-border groups, involve the controller and country accountants before choosing software. Define who owns exchange-rate tables, consolidation exchange adjustments, local fiscal periods, VAT/sales-tax handling and audit evidence.
Reports, budgets and financial dimensions
QuickBooks Plus provides broader financial reporting and budgeting, while Advanced provides more sophisticated reports, configurable dashboards, KPIs and classes or locations. Intuit has continued to add analytics and AI-assisted planning. For many small businesses, its native reports plus an accountant-prepared spreadsheet provide all the information leaders need.
Business Central connects dimensions and posting flows to financial reporting. It supports analysis and Excel use, with additional analytics opportunities through Power BI and Microsoft’s wider reporting stack where licensed. This is compelling when management wants reliable profit analysis by department, cost center, project or entity directly from operational transactions.
Reporting depth is not only a feature comparison. Ask whether numbers reconcile to the ledger, whether permissions restrict sensitive data, and how much analyst time is needed to produce a board report each month.
Microsoft 365 and Power Platform integrations
Business Central has a particular advantage for organizations already standardized on Microsoft 365. Microsoft documents workflows with Excel, Outlook, Teams, OneDrive and Word. Users can work with selected data in Excel, see customer/vendor context in Outlook, share Business Central records in Teams and connect documents through OneDrive.
Microsoft also supports integration and extension through Power Platform, APIs and AppSource solutions. These options can reduce duplicate data entry and support complex workflows, but they can create additional licensing, governance and implementation requirements. A Teams or Excel icon on a diagram is not evidence that every intended workflow is included without configuration.
QuickBooks can connect with many third-party accounting and business applications and is particularly familiar to U.S. small-business accountants. If the company already relies on a successful industry tool for scheduling, ecommerce or CRM, maintaining QuickBooks alongside that tool may be simpler than rebuilding the workflow inside ERP.
Ecommerce, fulfillment and order management
QuickBooks can receive sales and inventory information from ecommerce applications, with the available channels and operational depth depending on the plan and integrations. Reconciliation between an ecommerce system, payment processor, inventory application and ledger is often the main long-term challenge.
Business Central’s sales, purchasing and inventory records can become the operating hub behind ecommerce channels, with extensions or connectors linking shops to the ERP. The value is stronger control over orders and stock, but successful deployment depends on which connector is used, data ownership, tax mapping and failure handling.
Test split shipments, refunds, payment fees, canceled orders, backorders and stockouts. These exceptions reveal whether an apparently connected solution genuinely reduces manual work.
Workflow automation and approvals
QuickBooks Advanced supports custom permissions and automated workflows suitable for more sophisticated accounting teams. It may be enough for bill approvals, reminders, batch processing and management access restrictions without adopting an ERP environment.
Business Central combines finance, purchasing and operational permissions with configurable approval processes. Power Automate and extensions can add cross-application orchestration. The governance benefit is that purchase, fulfillment and accounting activity can follow shared controls rather than being coordinated entirely through standalone applications.
However, every custom workflow must be owned and maintained. Too much customization can make future updates and user training difficult. Choose the minimum process complexity that meets the organization’s documented controls.
AI: Intuit Intelligence versus Copilot
Intuit markets Intuit Intelligence across QuickBooks products, including expense categorization, financial insights and tier-specific tools; several features are described as beta or subject to capacity limits. It is important to distinguish capabilities currently available in a particular plan from roadmap messaging.
Microsoft lists Copilot as included with Business Central Essentials and Premium. Its separate Sales Order Agent and Payables Agent are labeled as requiring Copilot Credits sold separately on the current Microsoft pricing table. A buyer must therefore separate included assistant functionality from consumption-based agents and any Azure or Copilot Studio expenses.
Neither assistant should be trusted to post or approve material accounting entries without human validation. Test whether it actually speeds up statement matching, supplier coding and reconciliation while preserving audit evidence and data permissions.
Security, roles and auditability
Both products provide cloud access controls and accounting-related audit facilities, but the operational exposure is different. QuickBooks Advanced supports custom access roles and more administrative control than entry-level plans. Businesses should configure MFA, accountant privileges, banking permissions and separate approval responsibilities.
Business Central integrates with Microsoft identity and security controls and supports ERP permissions, audit and change-management patterns. Those advantages are useful only when administrators define appropriate role assignments, monitor integrations and manage extensions and data exports.
Neither system makes the customer automatically compliant with every tax, privacy or industry rule. Verify backup, retention, SSO/identity requirements, available audit logs and incident-response obligations against the organization’s policies.
Implementation complexity and who must own the project
QuickBooks Online is usually relatively approachable. A small firm may begin with an accountant, import customers and bank transactions, map its chart of accounts and start issuing invoices without hiring a broad project team. More sophisticated inventory or historical migration can still require specialist help.
Business Central is a much larger operating-system change. Process owners from finance, procurement, sales, inventory, warehouse and IT need agreement on posting groups, roles, item data, reporting dimensions, approval conditions and integrations. These decisions should happen before historical data is loaded.
Designate a business sponsor, controller, implementation partner or technical lead, data-migration owner and departmental testers. ERP value depends less on the license purchase than on adopting coherent processes. A failed implementation can cost more than several years of accounting subscriptions.
Migrating from QuickBooks Online to Business Central
Microsoft provides a QuickBooks Online Data Migration extension within Business Central’s assisted setup. Official documentation describes migration of business data such as customers, vendors, items, charts of accounts and opening balances or open items, subject to the extension’s current supported scope and prerequisites. This is a helpful starting point—not a guarantee that every historical transaction, attachment, custom field or integration will migrate automatically.
- Inventory the existing QuickBooks company files, currencies, tax codes, accounts, customers, vendors, products, unpaid invoices and open bills.
- Agree a chart-of-accounts and dimension map for Business Central, including legal entities and warehouses.
- Clean duplicate and inactive master records before migration; decide how much historical data to archive.
- Test the official migration extension in a sandbox or test company and document unsupported fields.
- Reconcile opening trial balance, outstanding receivables, payables, bank accounts and physical inventory values at the cutover date.
- Test user roles, document approvals, sales orders, purchase receipts, refunds, cancellations and inventory costing.
- Keep historical QuickBooks exports and suitable read access according to retention obligations.
- Schedule training, parallel reporting checks and post-go-live incident ownership.
The migration is complete only when the controller signs off on the reconciled numbers and operational owners accept the new workflows. Any marketing claim of one-click ERP migration should be challenged with a documented data checklist.
When QuickBooks Online is the better choice
- You run one legal entity with conventional bookkeeping and a relatively small finance team.
- Your biggest tasks are invoicing, expense capture, payables, bank reconciliation and tax records.
- You want published monthly pricing and minimal ERP implementation burden.
- Your inventory is straightforward and Plus or Advanced meets actual needs.
- Your project profitability needs fit QuickBooks Plus/Advanced without complex cross-department costing.
- You can rely on a small number of stable integrations without daily reconciliation problems.
- Most users are owners, accountants and administrative staff rather than operational ERP editors.
If a firm checks these boxes, spending money on better processes, a trained bookkeeper or a carefully chosen third-party app may improve its operations more than adopting Business Central.
When Business Central is the better choice
- Purchasing, sales orders, stock and finance must share a consistent source of truth.
- The business needs multiple companies, intercompany postings or consolidated financial reporting.
- Warehouse locations, receipts, transfers, fulfillment and supply planning are operational priorities.
- Manufacturing or formal service-order work justifies Business Central Premium.
- Finance requires stronger cross-functional approval and analysis by dimensions.
- Your workforce already uses Microsoft 365 and can benefit from controlled integration with Excel, Outlook, Teams and Power Platform.
- You have the budget, internal sponsor and partner resources to execute a planned ERP implementation.
None of those requirements means Business Central is automatically the only valid ERP. NetSuite, Odoo and other platforms can be legitimate contenders. The point is that the company’s needs have moved beyond a standard accounting-led purchasing decision.
Five realistic business scenarios
Scenario 1: a two-person marketing consultancy
The firm sends invoices, tracks subcontractor bills and wants a monthly profit-and-loss report. QuickBooks Simple Start or Essentials is likely a better fit. Business Central would create more roles, setup work and annual commitments than the workflows justify.
Scenario 2: a ten-person professional-services firm
If the firm mainly tracks client hours and project margins, QuickBooks Plus or Advanced deserves a demonstration. If it also allocates shared resources, purchases project materials, runs multiple subsidiaries and needs formal job accounting, Business Central may become compelling. Evaluate whether all ten employees truly need full accounting editor rights.
Scenario 3: a multichannel wholesaler with three warehouses
If ecommerce, stock transfers, backorders, purchasing and general ledger figures routinely disagree, Business Central Essentials offers a clearer route to process integration. QuickBooks plus connected apps can still work, but calculate ongoing connector reconciliation effort and exception handling.
Scenario 4: a small manufacturer with production orders
Business Central Premium is the relevant evaluation because Microsoft explicitly reserves manufacturing capability for Premium. Compare the full cost of production setup and implementation against the current accounting-plus-manufacturing tools, rather than expecting QuickBooks Advanced to natively reproduce the same MRP flows.
Scenario 5: a holding group with four legal entities
QuickBooks allows multiple company files under one login, but Intuit says each requires its own subscription, and the data is separate. Business Central offers multiple companies, intercompany transactions and consolidation tools. If group-level finance is a key pain point, the ERP approach is more credible. If each company operates independently, separate QuickBooks files may remain adequate.
What QuickBooks Advanced can solve before an ERP migration
It is easy to compare an older QuickBooks feature set with the newest Business Central documentation and conclude ERP is necessary too early. Intuit expanded Advanced with deeper reporting, industry-focused project tools, custom dashboards, 25-user access, batch processes and automation. An organization struggling with reporting or finance workflow may be able to upgrade from Plus without changing platforms.
Before moving to ERP, test whether QuickBooks Advanced, role redesign, better inventory integration, sound bank reconciliation and a consistent chart of accounts solve the issues. Document exactly which problems remain after this evaluation.
If the unresolved issues are multi-subsidiary consolidation, production planning, procurement-to-receipt controls or warehouse fulfillment, those are more substantive reasons to start an ERP selection.
Do not confuse QuickBooks Online Advanced with Intuit Enterprise Suite
Intuit separately markets Intuit Enterprise Suite as an AI-native ERP offering for more complex multi-entity and project-oriented organizations. It is not the same product as a $340/month QuickBooks Online Advanced subscription. Likewise, QuickBooks Desktop Enterprise is a different product with its own technology and inventory strengths.
An accurate comparison of QuickBooks Online and Business Central should not silently import the multi-entity capabilities of Intuit Enterprise Suite into QuickBooks Advanced. If a company likes the Intuit environment but needs ERP, request a distinct Intuit Enterprise Suite demonstration and written quote as a third option.
Questions to ask a Microsoft partner before purchasing
- Which company processes fit standard Business Central Essentials, and which require Premium, AppSource extensions or custom AL development?
- How many people require full finance or operations editor licenses versus restricted Team Members?
- Will Essentials and Premium configurations be separated by company, and which licensed users can access each?
- How will multiple legal entities, currencies, intercompany postings and consolidation actually be configured?
- Which purchasing, warehouse, inventory costing and manufacturing exceptions can be demonstrated with our own sample data?
- Exactly what data migrates through the QuickBooks Online extension and what remains historical archive?
- What do implementation, change requests, integrations, user training, maintenance and partner support cost?
- Which Copilot features are included and which agent workflows consume Copilot Credits or other paid capacity?
- What renewal, data export, backup, identity and recovery terms apply at contract termination?
Put these answers in the purchase scope and acceptance criteria. A partner’s generic industry demonstration is not a substitute for testing the organization’s process exceptions.

- Certain AI agents require separately priced Copilot Credits; project scope needs careful governance.
Final verdict: which is better for your business?
For a small service, retail or professional firm whose main requirement is reliable accounting, QuickBooks Online is usually our first recommendation. The $38 Simple Start or $85 Essentials tiers may be sufficient, while $140 Plus or $340 Advanced can cover more advanced inventory, project profitability and reporting. Its simpler setup is an economic and operational advantage, not a weakness.
For a growing distributor, project-heavy operator, manufacturer or multi-entity group where purchasing, stock, sales and finance need to work as one, Dynamics 365 Business Central has the stronger operational foundation. Evaluate Essentials at $80 per full user/month billed annually, or Premium at $110 if manufacturing or service-order management is required, and include partner delivery in the full budget.
The decision should be based on actual workflow complexity, not the number of features on a comparison chart. If your current finance tool is accurate and operational apps reconcile reliably, stay with the simpler model. If your team spends each month repairing discrepancies between orders, inventory, subsidiaries and accounting, an ERP investment may deliver greater value than keeping disconnected systems running.
Frequently asked questions
